1. About Upway Travel

Upway Travel is operated by Matthew Lintott, an independent travel agent affiliated with InteleTravel UK Ltd.

This notice applies when you visit this website, contact Upway Travel through an approved communication channel, make a travel enquiry, ask for help exploring travel options, proceed towards a booking or request future news and travel inspiration.

2. Upway Travel and InteleTravel

Upway Travel provides a personal travel-enquiry service and is affiliated with InteleTravel UK Ltd. When an enquiry proceeds towards a quotation or booking, relevant personal information may be entered into or transferred through InteleTravel’s approved systems and shared with appropriate travel suppliers.

InteleTravel UK Ltd and individual suppliers may process personal information for their own respective purposes. Their privacy notices and booking terms apply to the information they handle. You can read the current InteleTravel Privacy Policy.

3. Personal information we may collect

Depending on your enquiry or booking, Upway Travel may collect:

  • your name, email address, telephone number and preferred contact method;
  • your destination, travel interests, dates or flexibility;
  • the number and general composition of your travelling party;
  • your approximate budget, accommodation and experience preferences;
  • information you provide in messages or conversations;
  • quotation, booking and customer-service correspondence; and
  • your communication and marketing preferences.

If a booking proceeds, InteleTravel or the relevant supplier may require additional details, which could include dates of birth, addresses, passport details, payment information, accessibility requirements or dietary information.

Please do not include payment-card details, passport information or sensitive medical information in the initial website enquiry or ordinary email. Upway Travel will explain the approved method for providing anything genuinely required.

How information reaches us

The enquiry and newsletter buttons on this website prepare a message in your chosen email application. Nothing is sent until you review and send it from your own email account. We may also receive information by telephone, during travel conversations, through InteleTravel’s approved systems, from a person authorised to act for your travelling party or from a supplier where necessary to support an enquiry or booking.

The website is not intended for children to use independently. Information needed for a child’s family booking should be supplied by their parent, guardian or another authorised adult.

4. How and why we use your information

  • Responding to enquiries: taking steps at your request before a contract and our legitimate interest in providing a responsive service.
  • Preparing quotations and bookings: taking steps before a contract and performing a contract.
  • Sharing necessary details with InteleTravel and suppliers: taking steps before or performing a contract and meeting legal obligations where applicable.
  • Customer service, amendments and complaints: performing a contract and our legitimate interest in supporting customers.
  • Business, compliance and financial records: meeting legal obligations and our legitimate interest in managing and protecting the business.
  • Website and communication security: our legitimate interest in security, fraud prevention and business administration.

We will only use personal information for a new and unrelated purpose where there is a valid legal basis and, where required, you have been informed beforehand.

5. Marketing communications

Upway Travel will not add you to a general marketing list simply because you make an enquiry.

You will only receive newsletters, offers or travel inspiration after making a clear sign-up request. You can withdraw your consent at any time by using an unsubscribe option in a future communication or emailing hello@upwaytravel.co.uk.

Withdrawing from marketing will not prevent necessary messages about an active enquiry or booking. You have an absolute right to object to your personal information being used for direct marketing.

6. Who we may share information with

Where necessary and proportionate, information may be shared with:

  • InteleTravel UK Ltd;
  • airlines, hotels, cruise lines, rail operators and other selected suppliers;
  • tour operators, transfer companies, attraction providers and ticketing partners;
  • approved technology, email, website-hosting, payment and secure-communications providers;
  • professional advisers, insurers or accountants; and
  • regulators, law-enforcement bodies or public authorities where legally required.

Upway Travel will not sell your personal information. Information is shared only for relevant purposes such as arranging requested travel services, processing an approved booking, meeting legal obligations or protecting customers and the business.

International processing

Travel arrangements often involve suppliers outside the United Kingdom. Information may therefore need to be processed in a destination country or by providers operating internationally. Where UK law requires safeguards for an international transfer, the organisation responsible should use an approved safeguard or other lawful mechanism. InteleTravel’s arrangements are explained in its privacy policy.

7. How long information is kept

Upway Travel retains personal information only for as long as reasonably needed:

  • Enquiries that do not become bookings: normally up to 12 months after the last meaningful contact.
  • Booking and customer-service records: normally up to six years after the relevant transaction or customer relationship ends, where needed for tax, accounting, regulatory, contractual or legal purposes.
  • Marketing information: until you unsubscribe, withdraw consent or the information is no longer needed.
  • Suppression records: a minimal record may be retained so that a marketing opt-out continues to be respected.
  • Complaints or legal matters: information may be kept longer where reasonably required to establish, exercise or defend legal claims.

Information entered into InteleTravel or supplier systems is also retained according to those organisations’ policies and legal responsibilities.

Keeping information secure

Upway Travel takes reasonable organisational and technical steps to protect personal information against accidental loss, inappropriate use, unauthorised access, alteration or disclosure. Access is limited to those who reasonably require the information for the relevant enquiry, booking or business purpose.

8. Your data-protection rights

Depending on the circumstances and lawful basis, you may have the right to:

  • ask for access to your personal information;
  • have inaccurate or incomplete information corrected;
  • ask for information to be deleted or its use restricted;
  • object to certain uses of your information;
  • request the transfer of eligible information;
  • withdraw consent where processing relies on consent; and
  • complain about the handling of your information.

These rights are not absolute in every situation. We may need to retain or continue using certain information where there is a legal obligation or another lawful reason.

9. Questions and complaints

Please contact Upway Travel first with any concern about how your personal information has been handled. We will make every reasonable effort to investigate and resolve the matter.

Changes to this notice

This notice will be reviewed as the Upway Travel website, enquiry channels and services develop. The current version and effective date will be displayed here. Important changes affecting how information is used will be brought to the attention of affected individuals where reasonably required.
